CRM
The CRM is built around one question: what’s the next step? Every open deal should have an activity planned, and the CRM makes the ones that don’t stand out. If you’re coming from Pipedrive, the words and the ways of working are the same: leads, deals, pipelines, activities, labels and lost reasons.
Today is where to start each morning:
- Due today and overdue: tick an activity off, or move it to tomorrow, the next working day or next week.
- Coming up: the next seven working days.
- Needs attention: your open deals with no activity planned, deals that are rotting, deals past their expected close date, and leads with nothing planned.
Switch between Mine and Team to see everyone’s.
Leads is your inbox for interest that isn’t a deal yet: a form filled in, a referral, someone you met. A lead has a title, a value, the person and organization it’s with, an owner, labels (Hot, Warm and Cold to start with) and where it came from.
When a lead is worth pursuing, Convert to deal and choose its pipeline and stage. Its notes, activities and emails go with it. A deal can go back to being a lead, and leads you’re not working on can be archived.
Deals and pipelines
Section titled “Deals and pipelines”A deal has a title, a value (in any currency), an expected close date, an owner, a person and an organization. It moves through the stages of its pipeline, like Qualified › Contact made › Demo scheduled › Proposal made › Negotiations started, and is marked Won or Lost (with a reason). A won or lost deal keeps the stage it closed at, so you can see where deals are lost. Lost deals can be reopened.
- Board: a column per stage with its total and weighted value. Cards show the person or organization, the value, labels, the owner and the next activity: red when it’s overdue, green when it’s today, and a warning when nothing is planned. Deals left alone too long are marked as rotting. Drag a card to move it, or onto Won, Lost or Delete.
- List: the columns you choose, sorted and filtered your way. Select deals to edit any field on all of them at once, mark them won, or convert them to leads.
- Views: save the filters you use, for yourself or the whole team.
Each stage has a win probability, and a deal can have its own when its pipeline allows it. Values in other currencies are converted to your workspace’s currency for totals and reports, at the exchange rate on the day a deal was won or lost (today’s for open deals). You can have several pipelines, each with its own stages and access.
Activities
Section titled “Activities”Activities are calls, meetings, tasks, deadlines, emails and lunches, tied to a deal, lead, person or organization, with a due date, a time, a location and the people taking part. Plan one, or Log call after the fact. Ticking one off asks what’s next?, so the deal keeps moving. You get a reminder when each is due.
Activities lists them all by type and period (overdue, today, this week, next week…), or shows them on a calendar by week or month: drag one to another day or time to move it.
Log email
Section titled “Log email”Each workspace has a private email address (Settings › Apps › CRM). BCC it on an email, or forward one to it, and the email is logged on the matching people and their deal (or their lead). People marked do not contact are never logged.
Attachments up to 25 MB are kept with the email, with previews for images; only people who can see the email can open them. They’re kept as they arrived, so nobody can change or remove them.
Moving from Pipedrive
Section titled “Moving from Pipedrive”Bring everything across in one go:
- In Pipedrive, go to Tools and apps › Export data and export your organizations, people, leads, deals, activities and notes, as CSV or Excel. Include the ID columns, so records link up exactly.
- In Mavatu, open CRM › Leads › Import (or Move from Pipedrive from the command menu) and add all the files at once.
- Check how the columns and values match: your Pipedrive users to your team, and your pipelines and stages to ours (or create them). Custom fields are created for you.
- Check a sample first, then Move in.
Deals keep their stage, status, value, currency and when they were created, won or lost, so your reports show your history from day one. Activities keep when they were due and done, and notes keep who wrote them and when. Moving in again later updates what’s already here rather than copying it twice, and you can undo a whole move for a day.
You need permission to import both contacts and the CRM. Pipedrive’s products, files and synced emails aren’t brought across.
Exporting
Section titled “Exporting”Export deals, leads, activities and notes from their lists, or everything at once as a zip from the CRM’s import page. Files use Pipedrive’s column names, so they open in a spreadsheet and go straight back into Pipedrive or Mavatu. Exporting needs permission and is recorded in the audit log.
Reports
Section titled “Reports”Reports shows your pipeline by stage, the forecast, deals won and lost by month, where and why deals are lost, how long deals take to win, and the activities each person has done.
